Job Description
Circadia Group is looking for an experienced Accounts Receivable professional to join our dynamic team. The ideal candidate would have a bachelor’s degree in accounting or finance – or 5 years of equivalent work experience. Expertise with QuickBooks and Microsoft Excel is necessary in this position. In addition to technical skills, the successful applicant needs strong communication, administrative and problem-solving skills. Experience working in an Engineering, Architecture, or small consulting firm would be a plus.
Knowledge, Skills, Abilities, and Other Job Requirements
Responsibilities include:
- Manage company accounts receivable and payables.
- Develop financial reports and present to the Company President, Account Managers, and or Project Managers as requested.
- Create and issue monthly client invoices.
- Maintain financial tracking log for invoices issued and paid in addition to QuickBooks accounting
- Ensure timely collection of payments.
- Contact customers regarding the status of past due payments.
- File purchase orders and contracts.
- Organize records of invoices, bills, and deposits.
- Onboard subcontractors and ensure compliance with onboarding requirements required by law.
- Assist with setting up new client accounts.
- Manage and issue the company’s certificates of insurance (updated certs for existing or provide certs for new clients).
- Analyze financial data to identify trends and make strategic recommendations.
- Receive and review employee expenses. Review for company reimbursement compliance, accuracy, log in QB, and submit request to HR Manager for employee reimbursement.
- Support in reviewing employee billable timesheets for inaccuracies or overbilling.
- Assist with office HQ supplies management.
- Stay updated on industry and legislative changes
